Terms and Conditions
1. Definitions
In these Terms & Conditions:
“West End Wonders” means the business operating under the name ‘West End Wonders.’
“Website” means www.westendwonders.co.uk and the associated online booking system.
“Parent” means the parent or legal guardian responsible for the Participant and payment of Fees and who is the contracting party and who shall be responsible for compliance with these terms and conditions.
“Carer” means the adult responsible for delivering and collecting the Participant.
“Participant” means the child attending a West End Wonders workshop.
“Workshop” means a single day course – currently offered from 9am – 3pm.
“Fees” means the charges payable to attend any West End Wonders workshop, as specified.
“Premises” means the venue where the workshops take place.
“Teacher” means any staff member working at West End Wonders.
Whilst every effort will be taken to maintain the consistency of the teachers during the West End Wonders workshops, we do in extenuating circumstances retain the right to change the teaching staff where necessary.
2. Acceptance of Terms
These Terms & Conditions apply to all bookings and Activities and override any other or previous Terms and Conditions.
By completing a booking and making payment, the Parent confirms acceptance of these Terms & Conditions on behalf of themselves and the Participant.
No variation shall be valid unless agreed in writing by West End Wonders.
West End Wonders may cancel this contract at any time before the Participant commences in a workshop, for any reason whatsoever. West End Wonders shall not be responsible for any loss or damage whatsoever arising from such cancellation but will refund Fees paid for the day or rest of the course, where deemed necessary.
3. Bookings & Payment
All bookings must be made in advance via the official online booking form. Bookings are subject to availability.
Fees are not refundable other than with the written consent of West End Wonders.
Where West End Wonders is required to close due to circumstances beyond its control (including severe weather, public health emergencies, or Local Authority instruction) parents will be notified as soon as possible. Fees can be refunded upon your request; however West End Wonders can offer rolling credits for our next workshops, depending on circumstances. No additional compensation will be payable.
Once you have been contacted by West End Wonders with an offer of a place, full payment is then required to confirm it. Payments must be made within 72 hours of being offered a place. A payment extension may be approved at the discretion of West End Wonders. Please email info@westendwonders.com for further assistance.
For bookings requested less than three days prior to the commencement of a West End Wonders workshop, payment will be required within 24 hours of receiving an invoice.
Payments must be made via bank transfer.
The parent shall pay the fees for any West End Wonders workshop, prior to the workshop commencing.
4. Cancellations, Amendments & Non-Attendance
General
It is the Parent’s responsibility to ensure the correct workshops have been selected during the booking process – you will have another opportunity to check the dates upon receipt of the invoice.
There will be no refund provided by West End Wonders for sessions not attended. In this event, participants will also not be entitled to a free workshop at a later date.
Cancellations
Bookings are non-refundable.
West End Wonders may be able to offer credit and transfer the participant onto a different session at their discretion and subject to availability.
5. Late Collection
Children must be collected at 3pm.
If a parent or carer arrives to collect their child from the venue late, they will be required to pay a late fee of £5 for every 15 minutes.
Persistent late collection may result in termination of services.
6. Parent & Carer Responsibilities
Parents must provide accurate, complete and up-to-date information at registration.
Parents must disclose all medical, dietary, learning or behavioural conditions prior to attendance.
Participants must not attend while suffering from a contagious illness.
Children may only be collected by authorised persons aged 16 or over, and they must be in receipt of any required collection password.
Where possible, parents are responsible for informing West End Wonders of non-attendance.
If your child does not arrive at a booked session and we have not been advised of their non-attendance by the parent, we will begin our Missing Child Procedure.
7. Medication
If a Participant requires medication:
A completed Health Care Plan and Permission to Administer Medication form must be in place. Please contact info@westendwonders.com, and they can email this to you.
Medication must be supplied directly to West End Wonders on arrival, in a named bag.
Please note, if the above is not in place, your child will not be able to attend.
8. Medical, SEND and Behavioural Needs
Parents must provide full and accurate details of any medical conditions, allergies, dietary requirements, disabilities, learning needs or behavioural conditions that may affect their child’s participation or welfare.
Parents are requested to contact West End Wonders’ administration team to discuss their child’s needs before making their booking.
Where necessary, reasonable adjustments will be made to support inclusion, provided we can safely meet the child’s needs within staffing and operational constraints.
Failure to disclose relevant information may result in restricted participation or exclusion where safeguarding or welfare could be compromised.
9. Safeguarding & Welfare
West End Wonders is committed to safeguarding children and promoting the welfare of all children in our care and expects all staff, parents, carers and visitors to share this commitment and follow the statutory safeguarding obligations.
All safeguarding procedures comply with:
Keeping Children Safe in Education (KCSIE) 2025
West End Wonders has a duty to act on any concerns regarding a child’s welfare. Any suspicions, disclosures or concerns relating to abuse, neglect or exploitation will be recorded and reported to the appropriate authorities in line with statutory guidance.
If a child does not arrive at a booked session without notification, the Missing Child Procedure will be initiated.
Failure to disclose relevant information may result in exclusion without a refund.
Parents acknowledge that safeguarding concerns override confidentiality, and that West End Wonders is legally required to share information with relevant agencies where necessary.
10. Behaviour, Exclusion & Conduct
West End Wonders promotes positive behaviour and will manage conduct in a fair, consistent and age-appropriate manner. Where a child’s behaviour presents a risk to themselves, other children or staff, West End Wonders reserves the right to:

Restrict activities

Require early collection

Suspend or permanently exclude any Participant whose behaviour compromises safety or welfare.
No refunds or credits are guaranteed in cases of exclusion or suspension.
Abusive, threatening or aggressive behaviour towards staff may result in immediate termination of services and potential police involvement.
Babysitting or private care arrangements with staff are strictly separate and not the responsibility of West End Wonders.
PLEASE NOTE: All exclusion decisions will prioritise safeguarding and welfare. Parents will be informed promptly.
11. Forced Closures & Schedule Changes
No refunds or credits are payable where closure occurs due to events beyond reasonable control, including:

Severe weather
-
Infectious disease outbreaks
-
Power failures
-
Industrial action
-
Local authority or environmental health orders
West End Wonders may amend schedules, venues or programmes without compensation.
12. Photography & Marketing
Photographs and videos may be taken for promotional purposes, including use on social media.
Any images will be stored securely and used in accordance with data protection legislation.
Images will never be used in a manner that could place a child at risk.
Images and videos will be taken in a manner to shield identity, whilst promoting activity within the workshops.
Parents may opt out by ensuring they update their preferences on their child’s registration form.
13. Lost Property
Identifiable lost property will be returned upon request; parents may collect this from the next session, or postage costs apply.
Unclaimed items will be donated to charity at the end of each full course.
14. Limitation of Liability
Participation is at the Parents’ and Participant’s own risk.
The Parent and/or Carer agrees that any claim made against West End Wonders will be made in writing within 30 days of the incident taking place, and failure to report in writing within this time will negate any such claim.
